Refund & Cancellation
When deposits and fees for vault log setups, visits, and staging sessions can be refunded or rescheduled.
Scope
This policy applies to paid offerings from AI Orchestration Digital: Vault Movement Log Setup, Reconciliation Visits, Withdrawal Staging Sessions, and agreed visit series. It does not cover goods we do not sell, software licences, or third-party transport or banking fees.
Deposit for log setup
A 30% deposit confirms your setup date. The deposit is refundable in full if you cancel in writing at least seven (7) days before the booked day. Cancellations between six days and 48 hours before the start receive a 50% deposit refund. Inside 48 hours, the deposit is non-refundable because practitioner time is held.
Full fee after work begins
Once the on-site walk-through has started, fees for time already spent are non-refundable. If we cannot finish because of site access denial, unsafe conditions, or lack of required handlers after arrival, the day may be charged in full.
Reconciliation visits & staging sessions
Cancel or reschedule at least 24 hours ahead for a full fee credit toward a new date within three months. Later cancellations or no-shows are charged in full. Same-day rescheduling is possible only if diary space remains and may incur a HK$300 administrative fee.
Partial refunds
If we cancel because of practitioner illness or typhoon conditions that close your district, you may choose a full refund of amounts paid for the affected booking or a free reschedule. If only part of a multi-vault setup can be completed for reasons on our side, we refund a pro-rata share for unfinished vaults.
Non-refundable items
- Custom printed binders or stamps already produced at your request
- Third-party room hire booked at your instruction
- Completed coaching sessions and finished reconciliation visits
How to request a refund
Email contact@aiorchestration.digital with your booking name, date, and reason. We respond within three business days. Approved refunds are returned by the original payment method within ten business days (bank transfers may take longer depending on your bank).
Work already started & materials
Specimen sheets drafted during a started setup remain available to you even if the follow-up half-day is cancelled; fees for the completed portion remain payable. Unused blank stock we brought remains our property unless purchased separately.
