The Vault Log

A plain guide to the columns, stages, and dual-control habits that keep offline wallet withdrawals and deposits honest.

What the log is for

The vault movement log is the single sheet (or bound sequence of sheets) that records every time cash or a sealed pouch leaves or returns to the offline wallet. It is not a full accounting ledger. It is the chain of custody for staged movements.

Columns we usually open with

  1. Date & time — when the vault door opened for this stage
  2. Direction — withdrawal or deposit
  3. Stage label — e.g. lunch float, evening till, night pouch
  4. Amount or pouch ID — count for loose cash; ID for sealed bags
  5. Purpose — short phrase the next shift will understand
  6. Initiator — who removed or placed the funds
  7. Witness — second person present at the count
  8. Return / confirm by — the hour the stage should close
  9. Close mark — initials when the stage ends cleanly

Staged withdrawals

A staged withdrawal is cash that leaves the vault with the intention of returning unused portions or of being replaced by a deposit later the same day. The log treats each stage as open until the close mark appears. Open stages are the first thing we scan on a reconciliation visit.

Deposits

Deposit lines record pouches or counted notes entering the offline wallet. We encourage pouch IDs even for internal transfers so a deposit cannot be confused with a returned withdrawal of the same amount.

Dual control in practice

Two people must see the count for live vault openings. If only one cashier is on duty, the stage waits or a manager is called — the log does not invent a witness after the fact.
